What is GPS 2 Overuse
GPS 2 overuse gives you full control over billing of overuse on payment-free days directly in Onlet.
GPS 2 overuse checks if machines and equipment with GPS trackers have been used on a day where the orderline is registered payment-free on:
- Payment-free Saturdays and Sundays
- Public holidays
- Locally registered payment-free days
GPS2 Overuse- Settings
Under Settings/Modules, set the limit for how many minutes the equipment must be used within one day before overuse is registered.
- The setting is global and applies to the entire program but can be changed at the last group level.
- Here you can also activate whether related rental lines without GPS should appear for overuse should apply.
For users to be able to add GPS overuse to an order, this must be enabled under "Settings/Company/Access Template"
Prerequisites
It is NOT recommended to move GPS trackers between different machines during billing periods, as it can become very difficult to get this solution to work correctly.
GPS overuse is not recommended for prepay, and the procedures and processing should be done postpay. For security reasons, it is designed so that you cannot retrieve "Obveruse" for the current date before tomorrow. It is important to remember that the quality of GPS data from GPS providers determines to what extent overuse data can be activated. Onlet forwards raw data directly from the GPS provider.
Only overuse within the order period is displayed in Overview/Follow-up/GPS overuse. GPS overuse reported before the order start or after the order end is not shown in the views. If you deliver a machine on a Friday with an order start on Monday, or a return on a Friday with pickup on Monday, it may be wise to extend the order period with payment-free Saturdays and Sundays. Then GPS overuse will show overuse before and after the order start. The same applies in connection with public holidays.
Note: The Fixed Monthly Price price type should not be used in combination with GPS overuse. (Payment-free days are only handled in incomplete periods)
Add and administrate GPS overuse
An overview of GPS overuse can be found in the view "Overview/Follow-up/GPS overuse:
- Overuse data is imported via "Fetch overuse", the import takes into account the limit that is set in Settings/Modules (or on the last group level.)
- The view can be filtered by order no, contact, project, product, rental department, and time period.
- To add overuse to the order, set "Charge" columnbox to checked. In "Payment-free days" on the Orderline in the Orderview you will a list of all GPS overuse added to the orderline.
- Overuse not to be charged is marked as "Processed" in the first column. Then the date is not added as GPS overuse under "Payment-free days" on the Orderline in the Orderview.
- From the "Hamburger menu" (See bullet 1 in image above), a new view opens with detailed display if there are "multiple trips" for the current date.
- By clicking on the GPS symbol (See bullet 2 in image above), Google Maps will open automatically and show the product's position
- "Daily use" shows calculated time from the start/stop time for the current date
- "Duration" shows calculated use based on machine hours for the current date. For Track Unit's Caretrack products (third-party GPS), both Daily use and Duration are based only on the machine hours.
- "Local payment-free" is the comment field in the calendar on the orderline in the order view when a "new payment-free" is added
- Any products without their own GPS that are related to products with GPS are shown with an "arrow symbol" (See bullet 3 in image above)
- Overuse applicable to the invoiced period is indicated with a "yellow triangle" .
Note that if the period already is invoiced we ca not add overuse in th same period. You need to credit the invoice and reinvoice. We reccomand to always import GPS overuse BEFORE you invoice as a routine.
