The flexible fee solution provides increased flexibility regarding which fees should be charged to the customer and which producttypes form the fee basis.
In this article, we will take a closer look at how to create a flexible fee and how it can be overridden at the customer and order levels.
At the last group level, the fee can be deactivated if it should not apply to all groups in the group structure.
Environmental fees are an example of a flexible fee; this will be used as an example throughout the article.
Registering Flexible Fees
First you need to create a new service under "Products" and select "fee" as the attribute for this service. When you link this service to the relevant fee, the field will be locked so that you cannot change the attribute back to "regular service," see the image on the right. You must create a separate service for each flexible fee.
New fees are registered under "Settings > Standard Registers > Fees > Flexible Fees".
Click the "Add" button to create a new fee. Then fill in the following fields:
- Description (name of the fee)
- Code (2 characters displayed as a separate column in the order view)
- Active (the fee should be used)
- Service (select the service you created as the fee)
- Percentage (select the percentage rate the fee should have)
- Calculated From (choose gross = list price / net = unit price)
- Rental/Sales/Services (select which product types should have the fee)
Last Group Level
At the last group level (the "Overview" tab), you can choose to deactivate the fee by unchecking the box in the "Use" column.
Customer Card
On the customer card, you can override the inheritance from the register (standard registers) if the particular customer should have a different percentage rate or if the fee should be calculated from net. If you select the option "none" in the "Calculated From" column, the flexible fee will not be charged to the customer
Order View
In the order view, you can override the flexible fee under the "Finance" tab. A separate column for the flexible fee is displayed in the green field. You cannot override the fee at the order line level.
Invoicing
The flexible fee appears as a separate line on the invoice.
Settings
There is a specific setting where you can remove the flexible fee basis on the invoice, similar to the insurance basis.
Access Template
There is a separate access right required to be able to edit the fees.
