Pre-off-hire lets you record in advance that a customer intends to return rented equipment. The affected order lines retain their planned end date and time when the system runs its automatic extension process each night. This helps prevent additional rental charges once the customer has notified you of the return.
Enable the feature
Select "Allow pre-off-hire" under Settings > Standard setup > Quote/Order > Delivery/Return .
This makes the "Activate pre-off-hire" option available on packing slips.
Activate pre-off-hire on the packing slip
When the customer notifies you that the equipment will be returned:
- Open the relevant packing slip.
- Check that the order lines have the correct planned return date and end time.
- Select "Activate pre-off-hire".
The order lines covered by pre-off-hire will then be excluded from the automatic extension process that runs each night.
Note: Pre-off-hire applies to rental products and accessories. It cannot be used for services or sales products.
Find unprocessed pre-off-hire
In the order overview, click "Unprocessed pre-off-hire" to follow up on announced returns.
The "Unprocessed pre-off-hire" overview shows rental and accessory lines with pre-off-hire activated and a status of ordered or delivered, sorted by return date. Here, you can see which products have been reported for return and when they are expected back.
View pre-off-hire on the order
In the order view, POH currently appears after the packing slip number when pre-off-hire is activated. If "Packed" is also selected, this is displayed as (P/POH).
Remember: Pre-off-hire indicates a planned return. It does not mean that the equipment has been registered as returned. Follow up on unprocessed pre-off-hire when the equipment arrives back.
